Procella AI ("we," "us," "our") provides this policy to explain what information we collect through procellaai.com, why we collect it, and how it's used.

What we collect

AI Readiness Audit responses: your answers to the practice-operations questions in the audit tool.
Contact details you submit: first and last name, work email address, practice name, and staff size, entered to receive your audit results.
Scheduling information: if you book a strategy call, Calendly collects your name, email, and the details you provide at booking.
Call recordings and transcripts: strategy calls are conducted over Google Meet with an automated notetaker that records audio, produces a transcript, and generates a summary. We will tell you this is happening and ask for your agreement before the recording starts. If you'd prefer not to be recorded, tell us at the start of the call and we'll take notes manually instead.

What we do not knowingly collect

The audit tool is for general practice-operations information only. Please do not enter patient information, client-confidential details, financial account numbers, or other sensitive personal data into the audit or any form on this site. If you believe you've submitted sensitive data by mistake, contact us at support@procellaai.com and we will delete it.

How we use your information

To generate and deliver your personalised AI readiness report.
To follow up about your results, by email, if you've provided one.
To prepare for and conduct a strategy call, if you book one.
To improve our understanding of common practice-operations challenges across industries (in aggregate; we do not sell individual responses).

Who we share it with

We use the following third-party service providers to operate this site and our booking process. Each processes data on our behalf under their own privacy and security terms:

Formspree — processes and delivers audit-tool and contact-form submissions to us.
Calendly — processes call-booking information.
Google Meet / Google Workspace — hosts and records strategy calls when a call is booked, including the automated notetaker feature.
Namecheap Private Email — hosts our business email.

We do not sell your personal information. We do not share it with third parties for their own independent marketing purposes.

Data retention

We retain audit responses, contact details, and call transcripts/summaries for as long as reasonably needed to respond to your inquiry, pursue a potential engagement, or as required by law. You can request deletion at any time (see below).

Your choices

You can request a copy of the personal information we hold about you.
You can request that we delete your personal information.
You can opt out of follow-up emails at any time by replying to any email from us or contacting support@procellaai.com.

Depending on your state or country of residence, you may have additional rights under laws such as the CCPA/CPRA (California), other U.S. state privacy laws, or GDPR (UK/EU). We're in the process of confirming which of these apply to our current size and operations, and will update this section once that review is complete.

Security

We take reasonable steps to protect the information you share with us, including using established third-party providers for form handling, scheduling, and email. No online system is 100% secure, and we can't guarantee absolute security of information transmitted to us.

Children's privacy

This site is intended for business owners and staff of professional service firms. It is not directed at children, and we do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy as our practices or legal obligations change. We'll update the "last updated" date above when we do.
